Overview

This policy is provided by LeaderWired Institute, Inc. and explains what data we collect, how we use it, and your rights. It covers both of our services: Part A — the LeaderWired Institute learning platform at institute.leaderwired.com (the "Institute"), and Part B — the AI Coach Anna subscription application (the "App"). Part C applies to both.

Learners in Latin America: our policy in Spanish, including the authorizations we ask for, is at /privacidad.

Data We Collect (Institute)

• Account information: email address and encrypted authentication credentials when you create an account, and your name if you provide it for certificates.
• Learning data: course progress, completed scenarios, mastery scores, difficulty calibration, and the content of your coaching interactions with Anna (the messages you write or speak-to-text during practice scenarios).
• Purchase records: which courses and certificate programs you purchased, when, and your access window. Payments are processed by Stripe — we never see or store your card numbers.
• Free-trial data: the email address you provide to start a trial, and trial usage metering.
• Usage data: session activity and service telemetry (such as AI token usage per course) used for cost accounting and product improvement.

How We Use Institute Data

• To deliver your courses: track progress, score mastery, unlock capstones, and issue certificates.
• To operate your coaching sessions: your scenario messages are sent to our AI provider to generate Anna's coaching responses.
• To fulfill purchases, provision enterprise seats, and enforce access windows.
• To evaluate and improve coaching quality, which can include tuning our own AI models, using de-identified, pseudonymized practice conversations — only if you opted in to the Data Contribution Program (below).

Data Contribution Program (Institute)

At checkout you may opt in to our Data Contribution Program. If you opt in, de-identified, pseudonymized coaching interaction data from your sessions may be used to evaluate and improve Anna's coaching quality. If you do not opt in, your coaching interactions are not used for improvement or training purposes. Consent is recorded per purchase and you may withdraw it for future sessions by contacting us.

Where Institute Data Lives

• Supabase — our primary datastore (accounts, profiles, progress, purchases, consent records, and Leadership Interview recordings and transcripts), encrypted in transit and at rest.
• OpenAI — AI processing: most practice and coaching messages, and The Leadership Interview's questions and scoring, are sent to OpenAI's API to generate responses, and your messages may be converted into OpenAI embeddings to search course materials. This data is not used to train OpenAI's models.
• Anthropic — AI processing: some coaching messages are sent to Anthropic's Claude API to generate responses and to summarize long conversations, and are not used to train Anthropic's models.
• Stripe — payment processing.
• Vercel — hosting and request logs.
• Resend — transactional email (receipts, certificates, trial links).
• Inworld and Deepgram — voice synthesis, when you enable spoken coaching audio (we send the text of Anna's reply for synthesis). In The Leadership Interview, Deepgram also transcribes your spoken answers. Every request we send to Deepgram has its model-improvement opt-out set, so Deepgram does not use it to train its models.
• Your browser also caches course progress locally (localStorage/IndexedDB) so sessions resume quickly on your device.

The current list of subprocessors is maintained at /subprocessors. Your data is never sold to third parties.

Data We Collect (App)

• Account information: email address and password (encrypted) when you create an account.
• Coaching data: daily check-in responses (mood, intentions, challenges), coaching conversation messages with AI Coach Anna, goals, commitments, and patterns identified during coaching sessions.
• Usage data: session duration, feature usage, and app interaction patterns to improve the coaching experience.

How We Use App Data

• To provide personalized AI coaching by maintaining context across sessions.
• To track your mood trends and coaching progress over time.
• To generate session summaries and identify coaching patterns.
• To improve AI coaching quality using aggregate, de-identified data (subject to your participation in the Data Contribution Program, which you may leave at any time in Settings).

Where App Data Lives

• App data is stored in Google Firebase (Firestore) with encryption at rest and in transit.
• AI coaching is powered by OpenAI and Anthropic models. Coaching messages are sent to them for processing and are not used to train their models.

Voice Input and Your Privacy

In courses and coaching, if you choose to use optional voice input, your browser or device converts your speech into text with its built-in speech recognition, which may send the audio to your browser's or operating system's provider (for example Google or Apple) to be transcribed. We receive, process, and store only the resulting text transcript so Anna can respond. In courses and coaching we do not collect, capture, store, analyze, or have any access to your raw audio recordings, voiceprints, or voice biometric identifiers.

The Leadership Interview works differently. When you answer by voice, the conversation is recorded and the audio is sent to Deepgram to be transcribed. Audio recordings are deleted automatically after 30 days unless a legal hold applies; transcripts and your development plan are kept until you ask us to delete them. The consent notice you confirm before the Interview starts describes this in full.

We do not offer voice analysis, speaker identification, emotion detection, or other voice-biometric features, including in The Leadership Interview, which records and transcribes audio only. If we ever introduce features that collect or process voice biometric information, we will update this policy and obtain any consent required by law — including under Illinois' BIPA and Washington's My Health My Data Act — before doing so.

Regional Availability

Due to local statutory privacy requirements, what we offer depends on where you are located, which we determine from the location of your internet connection and, for AI Coach Anna, also from the country and state you give when you sign up. Our services are not currently offered to residents of, or individuals located in, Quebec (Law 25), the European Union (GDPR), Brazil, Nicaragua or Belize. In Chile and Mexico, The Leadership Interview and the Comprehensive Diagnostic are not currently offered. In Washington State (MHMDA), Institute courses and programs are available, whether bought with a one-time payment, tried free, or provided through an access code or an employer pilot, but the LeaderWired Institute Membership, AI Coach Anna, The Leadership Interview and the Comprehensive Diagnostic are not. Residents of certain other jurisdictions (including California, Texas, Massachusetts, and Connecticut) may use our services but default to fully disabled data collection and are ineligible for the Data Contribution Program.

Data Retention

Your data is retained for as long as your account is active, plus any period required for legal, tax, or accounting purposes. Institute purchase records are retained to honor your 1-year access window and for financial recordkeeping.

Your Rights

• Access: request a copy of the data we hold about you.
• Deletion: request deletion of your account and associated data (available in-product where offered, or by contacting us). Leadership Interview records are deleted separately: deleting your account does not remove them, so ask us by email.
• Portability: request an export of your coaching or learning data.
• Consent withdrawal: leave the Data Contribution Program for future sessions at any time.

Children's Privacy

Our services are not intended for individuals under 18 years of age. We do not knowingly collect data from minors.
